Job Description
Duties:Providing office management support to Head of DivisionCoordination of meetings and departmental eventsProviding administrative support to Academic and joint staff within the department.Create and maintain databases using a range of office software, including email, spreadsheets and databases, managing filing systems in developing and implementing new administrative systems, such as record managementOrganizing the office layout and maintaining supplies of stationery and equipmentMaintaining the condition of the office and arranging for necessary repairs;Overseeing the recruitment of new staff, sometimes including training and induction;Responding to customer enquiries and complaints;Ensuring that the Department comply with health and safety policies and proceduresTimetabling and allocation of students to GP teachers and facilitiesStudent liaison support and administrationOrganization of teaching material, examinations and assessmentsGeneral office administration including filingContinuing professional development points (CPD) recording and admin management of student databaseCoordination of exams (MCQ, MEQ and OSCE)
Responsibilities + Skills
Education
Grade 12Relevant Degree or National Diploma will be advantageous2-3 years University experience
Experience
Computer knowledge Word, Excel, PowerPoint, Electronic calendar & diary, emailExperience of OracleAbility to respond after hours for important, timely or urgent mattersTeam-player who operates in a fast paced team-oriented setting
