Job Description• Targets: ? Liaise and coordinate with Planners and Sales Team to meet daily sales targets. ? Analyze and optimize logistics procedures. ? Ensure that vehicles are readily available to achieve set targets. ? Adhere to stock movement plans as per the sales analysis directives. • Vehicle Management: ? Maintain accurate records of vehicle licenses and registrations, to ensure compliance with legal requirements. Vehicle files to be always kept up to date. ? Coordinate vehicle maintenance of respective vehicles with service providers. ? Coordinate the renewal of licenses and registrations in a timely manner to avoid disruptions to operations. ? Develop and implement vehicle expiry date monitoring system (early warning). ? Asset register must always be updated on shared one drive file. ? Coordinate the allocation and utilization of company vehicles to meet delivery schedules efficiently. ? Logistics Manager to be updated daily at 07h30 on fleet capacity and utilization. Inform the Logistics Manager of any vehicles that were NOT allocated a trip and the reasons thereof as per standard SOP. ? Ensure good housekeeping of all vehicles. • Procurement and Repairs: ? Coordinate the procurement of vehicles, parts, and equipment as needed. ? Manage relationships with service providers to ensure effective vehicle repairs and maintenance services. ? Maintenance records must be kept and filed accordingly. • Liaising with Drivers: ? Communicate effectively with drivers to provide instructions, updates, and support throughout their routes. ? Address any issues or concerns raised by drivers promptly and ensure compliance with company policies and procedures. ? Ensure daily pre-trip inspection checklists are completed for all vehicles and all deviations reported to the Logistics Manager. • Insurance: ? Insurance file to be kept up to date and insurance register claims to be current and relevant. ? All claims to be managed as per SOP. ? Investigations must be done and closed off within set time frames. • CarTrack: ? All installed GPS and fitted cameras must be in working order. Weekly health reports must be obtained through the web portal and any deviation actioned. ? Monitor cameras, any interference and movement of cameras from fixed positions must be actioned as soon as possible. ? Monitor and track vehicles and driver behaviour i.e. fuel consumption, green band driving, idle time, over speeding, seat belt etc. ? All repairs must be requested as per agreed protocols < 24 hours. • Trip Sheets: ? Ensure that all relevant trip sheets are completed as per SOP. ? Ensure that the correct information is captured per trip sheet and the Logistics Manager signs all trip sheets daily. ? Plan vehicle capacity vs vehicle utilization. ? Ensure timely schedules for customer orders. • Fuel Cards: ? Ensure that all vehicles have fuel cards and fuel fillings, and usage is monitored daily. ? Implement and ensure that drivers sign for fuel cards and are liable for any misuse. • Administration: ? Keep detailed records of vehicle maintenance, repairs, and expenses for reporting and auditing purposes. ? Assist with administrative tasks such as receiving of invoices, delivery notes, picking slips, scheduling, data entry, filing. ? Email all POD’s timeously to POD Clerks. ? Laise with Sales administration clerks regarding queries on tax invoices, incomplete trips, stock returns. ? Keep weekly attendance registers for all Bronkhorstspruit employees and staff. ? Ensure consistent and clear communication with all stakeholders. ? Report all logistics issues immediately to the Logistics Manager.
